Review Toolbar Buttons

To the left of the Show menu are several tool buttons that assist in editing track changes and comments.
- The first two buttons Previous and Next are used to move back and forth between track changes and comments.
- The third button, Accept Change has a submenu that allows the a reviewer to Accept Changes (by each line), Accept All Changes Shown, or Accept All Changes in Document.
- The fourth button, Reject Change/Delete Comment is as stated. Using this button a reviewer has the option of rejecting each change or deleting each comment individually. Regect all Changes/Delete All Comments Shown or Regect All Changes/Comments in Document are as stated.
- The fifth button, the Comment button is used for inserting a comment.
- The sixth button, the Highlight button is used to highlight text.
- The seventh button, Track Changes is used to activate and record comments and track changes.
- The last button, the Reviewing Pane button is used to display the Reviewing Pane at the bottom of the document being reviewed.


Identifying the Reviewer by Color Coding

By default, each reviewer is automatically assigned a different color that distinguishes his or her comments or track changes in a document. These changes include insertions, deletions, and formatting changes by each author.
Click on the Show menu located on the Reviewing Toolbar and then the submenu Reviewers. The submenu displays the names of all registered reviewers and their assigned colors.
Note: To specify whose comments or tracked changes are displayed in the current document either place or remove a checkmark in front of the reviewers's name.
When in Print or Web View, comments or tracked balloon changes are displayed in the Reviewing Pane or hidden depeding on the options selected.
Balloon Options
Balloons are only visible in Print or Web View and are used to track and display formatting changes, deleted text, or comments. You can elect to hide the balloons or to show them only when tracking format changes and comments.
To configure these preferences:
- On the Reviewing Toolbar click on the button Show | Balloons.
- Choose one of the options from the sub-menu
(a) Always - use balloons to track formatting changes, deleted text, and comments.
(b) Never - display all changes in the Reviewing Pane.
(c) Only for Comments/Formatting - balloons are to display only inserted comments and formatting changes.
