Creating a New Data Source

In Step 3 (Select Recipients), select the option to Type a New List and then click on the Create link located in the lower menu. This opens the New Address List dialog box. Click on the Close button after completing your address list. By default the file is saved as an .mdb database file in a folder titled My Data Sources.

Adding Merge Fields - Word provides assistance with several items sucah as Address Blocks, Greeting Lines, Electronic Postage, Postal Bar Codes, and fields specificed in your data source. To add a field click inside the document location where the first field is to be inserted and then choose from one items listed or click on More items to access the Insert Merge Fields dialog box.

For example: Assuming a new form letter is being created for distribution click the Address Block link to open the Insert Address Block dialog box.

If you are creating a new form letter for distribution click on the AddressBlocklink to open the InsertAddressBlockdialog box.

Select the proper format and then check or uncheck any elements that you want included in the Address Block.

Close the dialog box by clicking on the OK button. Word now inserts the coded Address Block where the insertion point was located.


To Add a Greeting Line

Place the insertion point where you want to add the greeting, then click on the link Greeting Line, shown in Step 4.

Choose the proper salutation from the Greeting Line dialog box and then click on the OK button.

New! Word 2003 provides the option of adding a generic greeting for those addresses that show an empty entry.


Click on OK button to add the GreetingLine code. Next press Enter twice and start typing your letter.

SpecialNote: Merge fields can be entered anywhere deemed appropriate.
