Oracle Calendar


Introduction

Oracle Calendar is a client/server application operating in real-time and used for group-scheduling in our organization. This application updates your agenda automatically and does not require that you save your work when a new entry is added.

Oracle Calendar allows you to:

  1. Schedule individual and repeating agenda entries
  2. Schedule group meetings and resources
  3. Check for conflicts and conduct free-time searches
  4. View other users' agendas
  5. Control access of your agenda by setting viewing preferences
  6. Assign designates, enter notes, and track tasks
  7. Choose from a plethora of printing options.

Signing In

To access Oracle Calendar
  1. Double-click on the Oracle Calendar icon to open the Sign-In dialog box.
  2. Type in you User Name (smith2) and Single Sign-on Password.

Setting User Preferences

Click on the menu button Tools | Options to individualize personal preferences for your Agenda, In-Tray set-up, Entry defaults, Access rights, and Working off-line. Preferences relate to e-mail notifications of changes to your Agenda and designating rights to other users to access your calendar as your designate.

Each menu option contains sub menus, which are accessed by clicking on plus (+) sign in front of the menu.

Options

Agenda -> Display -> Colors
In-tray -> Accepted -> Sent Out -> Refused
Preference settings to display entries that were accepted, sent out, or refused within a scheduled time range.

Entry Defaults -> Meetings -> Tasks -> Day Events -> Daily Notes
The default preference used to control the amount of information someone else can see in your calendar and provides various options for event reminders.

Scheduling -> Hours -> Receive Notification -> Send Notification

Off-line Options -> Download -> People/Resources -> Groups
This calendar option permits your calendar to be downloaded to your personal computer when you close the Oracle Calendar program. Exercising this option is a cautionary method of providing access to your calendar if the server went off-line. Access would include dates in the past, future, and other people’s agendas or resource calendars that you included in your options.

Identifying the Menu Icons




The In-Tray icon is where all Entries from other users are received and manipulated.
To open the In-Tray:

When the In-Tray window opens a folder with your name appears. Inside that folder are four more folders labeled New Entries, Entries you have accepted, Entries you have sent out, and Entries you have refused. To expose the contents of these folders click on the folder and then right click on the icon to respond or view a meeting.

If you would prefer not to have the In-Tray open when calendar starts, change your preferences under Tools and then Options. Click on the menu General, then Startup, remove or check the desired preference.


Open my Agenda (Ctrl+F6)
Click on the icon to open your Agenda. Alternatively, click on down arrow next to the icon to open another user’s Agenda, a Group Agenda, or an Agenda as Designate.


Open my Task (Ctrl+F7)
Open my Task (Ctrl+F7) Click on this icon or the down arrow next to the icon to open your Tasks, another User’s Tasks, or Tasks as a Designate. This opens a new window in which you can assign or track all specific tasks and responsibilities designated by yourself or superior. In this window, you can set due dates, priority levels, and access levels for other calendar users.

Open Contacts (Ctrl+B or F8)
Your personal address book containing the list of contacts or distribution lists you created.

New Meeting (Ctrl+Shift+M)
The New Meeting button opens the dialog box that is used to create and enter all relevant information pertaining to a proposed meeting. This includes the meetings title, location, date, start/end time, people/resources, reminders, and other options.

New Task (Ctrl+Shift+T)
Click the  New Task button to create and record a task or work project that must be completed within a defined period of time.

New Day Event (Ctrl+Shift+T)
Click the New Task button to create and record a task or work project that must be completed within a defined period of time.

New Note (Ctrl+Shift+N)
The New Note button is used for creating personal notes similar to a memo that can be repeated or used as a reminder.

Search Agenda (Ctrl+F)
The Search Agenda button is used search text strings (wordings) in your agenda or someone else’s agenda. The other two tabs allow you to modify your search parameters.

Directory Search

  1. Click on the menu Tools and choose "Search Directory."
  2. Click on one of the three tabs in the Directory Search dialog box "People," "Resources," or "Group."
  3. Type one or more parameters (e.g. surname, resource name, etc.) in the input box, and then click on the “Search” button.

Another option is to leave the parameter boxes blank and click on the “Search” button. When searching for a Resource (room) you may also click the radio button “Search by Resource,” and then the Search button.
