More about Using the In-Tray


Opening the In-Tray folders
  1. Click once on a folder (New entries, Entries you've accepted, Entries you've sent out, and Entries you've refused) to expand and display the contents.
How do I view the distribution list and responses of attendees?
  1. Click once on an event icon (event icons are found in the In-Tray folders) to reveal a list of all users and resources invited to that event. In addition, the response icons indicate all responses.
How do I reply in the In-Tray?
  1. Left click and hold the mouse button down on an agenda entry, then drag and drop the entry to the folder that corresponds to your response.
Quick tips:
Agenda entries can be moved from one folder to another using the Drag an Drop method without restriction. Therefore, you can always change your mind and drag the entry back or to another folder.


How do I edit my entries from the In-Tray?

  1. Identify the entry to be edited in the Entries you sent out folder.
  2. Double-click on the title of the entry and the Edit Entry dialog box will open. Edit the entry and save the changes.
Note: When deleting a repeating date from the calendar observe that there are two delete buttons. Selecting Delete All removes all entries, whereas Delete just removes the selected date.


Scheduling Without Conflicts


How do I check for conflicts?
  1. After people or resources are added with a date and time click on the Check Conflicts button.
  2. If there is a conflict, a small window open revealing the details of the conflict.
Searching for free-time

When a conflict arises, use the “Suggest Date/Time” option to resolve scheduling conflicts by providing alternate date and time suggestions.

How to:

  1. Click the new entry’s menus Tools | Suggest Date/Time.
  2. Fill-in the suggestion parameters: dates and duration, time period required, and the maximum number of suggestions to return.
  3. Click on the “List suggestions” button.
  4. Select a suggestion from the list provided and then click on the button OK.
  5. Verify the new time slot by clicking on the button “Check Conflicts” and then OK.
How do I view another persons agenda?
  1. Click on the button "Open Agenda" to open the Agenda dialog box.
  2. Type in the name of the user's agenda that you need to view or search the directory.
  3. Click on OK.
  4. The user's agenda will appear in a separate window and titled Opened for (user name).
How do I open a group agenda?
  1. Click on the down arrow next to the "My Agenda" button and select open "Group Agenda."
  2. Add the names of the people whose agendas you want to view in the dialog box.
Note: You can add the members by typing in their last names or initials. Press Enter or click on the green checkmark after each name.

How do I create groups?
  1. Click on the menu Tools | Manage Groups, and then click on the button New.
  2. Name the group and then click on the drop-down menu to define the group type.
  3. Click on the Green checkmark button to accept the group name and type.
  4. Enter each member's name in the Add member input box and then click on the green checkmark or press Enter to add the name. After all names are added click on the OK button.
